The Procurement Specialist will be responsible for identifying suitable suppliers, obtaining and evaluating quotations, confirming product specifications and coordinating procurement activities required to service client supply contracts. The role requires careful attention to quality, pricing, lead times, documentation and supplier reliability.
Working closely with management, suppliers, logistics partners and other operational stakeholders, the Procurement Specialist will help move each requirement from initial enquiry through sourcing, evaluation, ordering and delivery. Clear communication and accurate recordkeeping will be essential throughout this process.
This position is suited to a commercially aware and highly organised procurement professional who can manage multiple product categories, negotiate confidently and develop dependable supplier relationships. The successful candidate must be comfortable working in a growing business where priorities can change and practical problem-solving is valued.
Responsibilities
- Identify and assess manufacturers, wholesalers, distributors and specialist suppliers capable of meeting client requirements.
- Obtain quotations, product specifications, samples, lead times, minimum order quantities and supporting documentation from prospective suppliers.
- Compare supplier proposals across price, quality, production capability, delivery performance, payment terms and overall commercial suitability.
- Negotiate competitive pricing, lead times, payment terms and supply conditions while maintaining constructive supplier relationships.
- Coordinate supplier onboarding and maintain accurate supplier records, contact information, product documentation and agreed commercial terms.
- Translate client requirements into clear supplier enquiries, including product specifications, quantities, packaging requirements and expected delivery dates.
- Coordinate purchase orders and monitor procurement activities from order confirmation through production, collection and final delivery.
- Follow up with suppliers regularly to identify potential delays, shortages, quality concerns or specification discrepancies before client commitments are affected.
- Work with logistics partners and internal stakeholders to coordinate collections, transport requirements, delivery schedules and relevant shipping documentation.
- Support product and supplier evaluation by reviewing samples, certificates, technical information and other evidence of product suitability.
- Maintain procurement trackers, quotation comparisons, order records and supplier performance information.
- Assist with resolving incorrect deliveries, damaged products, quantity discrepancies, quality concerns and other supplier-related issues.
- Monitor changes in supplier pricing, material availability, production capacity and market conditions that could affect client supply contracts.
- Identify opportunities to consolidate orders, improve purchasing efficiency, reduce unnecessary costs and strengthen continuity of supply.
- Protect confidential client, supplier and commercial information at all times.
Requirements
- A relevant diploma or university degree in supply chain management, procurement, logistics, business administration, commerce or a related field.
- At least three years of relevant experience in procurement, sourcing, purchasing, supplier coordination or supply-chain operations.
- Experience obtaining quotations, comparing supplier proposals and negotiating commercial terms.
- Strong understanding of purchase orders, product specifications, lead times, minimum order quantities and supplier documentation.
- Ability to evaluate suppliers according to quality, cost, capacity, reliability and delivery performance.
- Strong written and verbal communication skills, with the confidence to communicate professionally with suppliers and business stakeholders.
- Excellent organisational, prioritisation and time-management skills.
- Ability to manage several supplier enquiries, quotations and purchase orders simultaneously without losing attention to detail.
- Strong numerical ability and confidence working with pricing, quantities, margins and commercial comparisons.
- Proficiency in Microsoft Excel, Word, Outlook and other standard business systems.
- Ability to maintain accurate records and prepare clear procurement reports and quotation comparisons.
- Professional fluency in English. Additional South African or international languages would be advantageous.
- A valid South African driver’s licence and willingness to attend supplier meetings and site visits when required.
- Experience with wholesale products, hospitality supplies, food products, medical products, industrial products or export-related procurement would be advantageous.
